Connect your phone number

TeamMate AI answers your missed calls with an instant text and books the job for you. It sends from your own business number, on your own Twilio account — so the messages look like they came from you, and the call/SMS costs are billed to you at Twilio's rates, not marked up by us.

Who pays for what

  • TeamMate AI subscription — your monthly plan, billed through Paddle. That's the only thing you pay us.
  • Twilio — your phone number (roughly a few dollars a month) plus per-message and per-minute usage, billed directly by Twilio to your card. We never touch it and never add a markup.
  • AI voice answering (optional) — if you turn on the AI voice bot, you connect your own VAPI or Bland.ai account and they bill you directly for call minutes.

Nothing in TeamMate AI can spend money on your behalf. If your Twilio credentials aren't saved, the SMS features simply stay off.

Step 1 — Get a Twilio number

  1. Create a free account at twilio.com and verify your email and mobile.
  2. Go to Phone Numbers → Buy a number, choose Australia, and pick a number with both SMS and Voice capabilities.
  3. Australian numbers need a quick regulatory bundle (your ABN and address). Twilio walks you through it — approval is usually same-day.
  4. Copy your Account SID and Auth Token from the Twilio Console dashboard.

Tip: keep your existing mobile as your main line and divert unanswered calls to the Twilio number, or advertise the Twilio number directly — both work.

Step 2 — Paste it into TeamMate AI

  1. Open Settings → Phone & SMS in your TeamMate AI dashboard.
  2. Paste your Twilio Phone Number (in +61 format), Account SID and Auth Token, then save.
  3. Tick the SMS compliance confirmation. Until this is ticked, TeamMate AI will not send a single message.
  4. Click Auto-configure Twilio webhooks. We log into your Twilio account with the credentials you entered and point the Voice and Messaging URLs at your account. (The manual URLs are shown too if you'd rather paste them yourself.)

Step 3 — Test it

  1. Go to SMS Inbox and click Test missed call — this runs the whole flow without touching a real phone line.
  2. Then call your Twilio number from another phone and let it ring out.
  3. You should get a text back within seconds offering appointment times. Reply with a time and a booked job appears in your calendar automatically.

Staying legal in Australia & WA

  • Spam Act 2003 (Cth) — every message identifies your business and carries a working STOP opt-out. If someone replies STOP, we block all future messages to that number automatically.
  • Send windows — messages only go out between 9am and 8pm in the business timezone you choose in Settings. Nothing lands at midnight.
  • Surveillance Devices Act 1998 (WA) — if you enable the AI voice assistant, the bot announces that the call is answered by AI and may be recorded, and gives the caller a chance to hang up first.
  • Your responsibility — only message people who have contacted your business, and keep your business details in Settings accurate. TeamMate AI enforces the technical requirements; the customer relationship is yours.

If something isn't working

"Twilio rejected those credentials"
Your Account SID must start with AC. Copy both values fresh from the Twilio Console dashboard.
"Number not found in your Twilio account"
Buy the number inside Twilio first, then run auto-configure again. We only look inside your account.
No text-back after a missed call
Check the compliance box is ticked, the credentials are saved, the caller hasn't replied STOP before, and the call happened inside the 9am–8pm send window.
